TL;DR
- For most companies the choice follows the office suite. Gemini is built into Google Workspace plans; Microsoft Copilot is a paid add-on to Microsoft 365, at $21 per user per month on Business plans and $30 on enterprise plans, paid yearly.
- Google includes Gemini in Gmail from the Starter plan, and Gemini in Docs, Sheets, Slides, Drive, Chat and Meet from Standard. Microsoft includes Copilot Chat with eligible Microsoft 365 plans, but Copilot inside Word, Excel, Outlook and Teams needs the paid licence.
- For company-wide search and agents beyond the suite, Google sells Gemini Enterprise, from $21 per seat per month for Business. Microsoft bills agents in Copilot Credits, with use by licensed employees included within fair use.
- Neither assistant shares what it knows with the other, or with ChatGPT and Claude. Companies that run more than one give them the same company memory with Sentra.
Prices and plan contents were checked on Google's and Microsoft's pricing pages on 2 November 2026.

What each costs
Gemini
Google bundles Gemini into Workspace. On the Workspace pricing page, every plan includes the Gemini app. Starter adds Gemini in Gmail and Vids, limited Gemini in other Workspace apps and Workspace Studio for building agents. Standard adds Gemini in Docs, Sheets, Slides, Drive, Chat and Meet, Google's most capable models, expanded Gemini Notebook access and up to 20 Audio Overviews a day. Enterprise is quoted by sales. Google shows Workspace prices in the visitor's local currency, with a 16% saving on a one-year commitment, so check the page from your own country.
Gemini Enterprise is Google Cloud's separate product for permission-aware search and agents across Google and third-party data. Google lists the Business edition at $21 per seat per month for 1 to 300 seats. Standard and Plus launched at $30 per seat per month in October 2025 and are now shown in local currency.
Copilot
Microsoft includes Copilot Chat, grounded in the web and uploaded files, with eligible Microsoft 365 plans. Copilot inside Word, Excel, PowerPoint, Outlook and Teams needs a licence:
- Copilot Business, for Microsoft 365 Business plans: $21 per user per month paid yearly, or $18 for the first year for existing customers until 31 December 2026.
- Microsoft 365 Copilot, for enterprise plans: $30 per user per month paid yearly, or $31.50 paid monthly on an annual commitment.
- Bundles: Business Standard with Copilot at $23.50 and Business Premium with Copilot at $32 per user per month paid yearly.

What this means for a 100-person company
On Microsoft 365 enterprise plans, giving all 100 people Copilot costs 100 x $30 = $3,000 a month, or $36,000 a year, on top of the suite. On Google Workspace Standard, Gemini in Docs, Gmail and Meet is already in the seat price. Adding Gemini Enterprise Business for company-wide search and agents would cost 100 x $21 = $2,100 a month.
Agents
Gemini. Workspace Studio lets people build agents from the Starter plan up. Gemini Enterprise adds prebuilt and no-code agents, permission-aware search across Google and third-party data, and central administration.
Copilot. Agent Builder creates simple agents inside Copilot; Copilot Studio builds more capable ones. Agent work is metered in Copilot Credits: 2 per generative answer, 5 per agent action and 10 per message grounded on your Microsoft Graph (learn.microsoft.com). Use by employees with a Copilot licence is included within fair use; autonomous agents and unlicensed users consume credits. See our guide to Microsoft Copilot agents.
How to choose
1. Your company runs on Google Workspace. Choose Gemini. It is already in the plan, and Gemini Enterprise covers data outside Google.
2. Your company runs on Microsoft 365. Choose Copilot. It reads your Outlook, SharePoint and Teams under the permissions you already have.
3. You run both suites, or Slack and Salesforce hold most decisions. Neither assistant sees the whole company on its own. Pick the one that matches where your documents live, and give it a shared memory of everything else.
What neither one solves
Gemini and Copilot are both strong inside their own suite. Both answer from documents, and both build their own context. If the pricing deck says one thing and last week's call changed it, each assistant can find both and neither knows which is current. If finance uses Copilot and sales uses ChatGPT, the two assistants do not share what they have learned.
Sentra is organization memory: one governed record of what is true in the company, built from email, chat, meetings, documents and systems of record across more than 200 tools, Google and Microsoft alike. Every fact carries when it became true and when it stopped, so a changed decision replaces the old one. Gemini, Copilot, ChatGPT, Claude and internal agents read the same memory over MCP and REST, with each source's permissions intact. Sentra is SOC 2 Type II and ISO 27001 certified, and runs in the cloud, in an isolated VPC or air-gapped on-prem.
In the Glass Company, an independent test built and scored by Era by Eon, Sentra had never seen the company and found 495 of the 497 problems hidden in it, in 102 minutes. Claude Opus, given the same systems, found 8%.
